Scope

Ninja Workflow Tool is a private Chrome extension for authorized recruiting and staffing workflows. The extension is intended only for trusted testers and approved internal users. It connects to configured Ninja Workflow Tool services and optional AI providers selected by the user or administrator.

Data processed by the extension

Depending on the configured workflow, the extension can process candidate profiles, CV content, contact details, job descriptions, company information, match scores, match notes, qualification profiles, generated documents, user settings, configured service endpoints and API credentials.

For user-initiated browser workflows, the extension can also process website content from recruiting sources, job postings or company pages opened by the user.

Purpose of processing

Data is used only to provide the extension's recruiting workflow features: importing CVs and job data, managing candidates and jobs, calculating and reviewing job matches, editing qualification profiles, exporting documents and printing or creating PDFs.

Optional AI-assisted features use configured AI providers only when the user or administrator enables and invokes those functions.

Data sharing and transfer

Data is sent only to backend services or AI providers configured by the authorized user or administrator when required for the selected feature. Data is not sold, transferred for advertising, or used to determine creditworthiness.

Storage

The extension can store local settings and working data in Chrome extension storage. It can synchronize workflow data with configured Ninja Workflow Tool backend services. The user or administrator controls the configured service endpoints and credentials.

Retention and deletion

Retention depends on the configured backend and organizational workflow. Local extension data can be removed by clearing extension storage or uninstalling the extension. Backend data can be managed through the configured Ninja Workflow Tool services.

Users may request access, correction, deletion, restriction of processing, objection and data portability where applicable by contacting info@metric-space.ai.
